Privacy Policy

This policy covers mioshealth.aiand the public marketing site only — the demo-request form, Mentis Chat assistant, contact forms, and general browsing activity. It does not cover the authenticated practice console used by our customers, which is governed by that customer’s agreement with Bespoke Mentis and, where applicable, a signed Business Associate Agreement for patient data processed on behalf of a practice.

This website is not a place to submit patient health information. Public surfaces, including this site and the Mentis Chat assistant, are designed to collect contact details and stated business interest only.

Categories of personal information we may collect when you use this website:

• Identifiers — name, email address, phone number, and practice/organization name you provide through the demo-request, contact, or Mentis Chat forms.
• Commercial information — the products/packages you inquire about.
• Internet/network activity — pages visited, general usage of this website, and content of messages you send to the Mentis Chat assistant.
• Geolocation (coarse) — inferred only from IP address for security and fraud-prevention purposes, never precise device GPS location.

• Responding to demo requests and inquiries, and scheduling follow-up.
• Operating and improving the Mentis Chat assistant and this website.
• Security, fraud prevention, and abuse detection.
• Complying with legal obligations and enforcing our Terms of Use.

• Cloud infrastructure and hosting providers (Amazon Web Services) who store and process data on our behalf under confidentiality obligations.
• The AI model provider used to generate Mentis Chat assistant responses (OpenAI), which receives only the text of your conversation with the assistant — never submitted contact-form data.
• Email delivery providers, solely to send messages you request (e.g. demo confirmations).
• Professional advisors and successors in a corporate transaction (e.g. legal counsel, or an acquirer), and law enforcement or regulators when required by law.

We do not sell personal information, and — as described below — we do not share it for cross-context behavioral advertising.

This website does not collect sensitive personal information as defined by the CCPA/CPRA (such as government identifiers, precise geolocation, health, biometric, or financial account data) through the demo-request form, contact forms, or the Mentis Chat assistant. To the limited extent any sensitive personal information is ever incidentally processed (for example, log-in credentials for the practice console), we use and disclose it only for the purposes permitted by Cal. Civ. Code §1798.121(a) — providing the requested service, security, and legal compliance — never to infer characteristics about you or for cross-context advertising. Because of this, a separate "Limit the Use of My Sensitive Personal Information" link is not required (11 CCR §7027(m)); if that changes, we will post one.

This site does not respond differently to a browser’s “Do Not Track” setting, because no standard for interpreting DNT signals has been adopted. We do, however, automatically detect and honor the Global Privacy Control (GPC) opt-out preference signal — see Your Privacy Choices for how that is displayed and confirmed.

This site uses only strictly-necessary session cookies and, if you use our Accessibility toolbar, a local preference stored in your browser. See our Cookie Policy for the full list.

We minimize the data we collect, encrypt it in transit and at rest, and limit access to what each role needs. For practices using MIOS Health, patient data is isolated per practice with database-enforced Row-Level Security, and we sign a Business Associate Agreement where required.

We retain contact and inquiry information for as long as needed to respond to your request and maintain business records, and delete or de-identify it on a reasonable schedule thereafter, or sooner upon a verified deletion request.

This website is directed to business and healthcare-practice audiences and is not directed to children. We do not knowingly collect personal information from individuals under 16, and we do not sell or share the personal information of any consumer we know to be under 16.

We may update this policy from time to time. Material changes will be reflected by updating the effective date above, and, where required by law, we will provide additional notice.
